Handling duplicates on import
- Do it on
- Computer (Dashboard)
- Time needed
- 5 minutes
- Before you start
- You are on the Review step of Smart import
- When you finish
- No duplicate records created
A duplicate is not a conflict
| Kind | What it means | What to do |
|---|---|---|
| Duplicate | This row matches another row in the file, or an existing record | Drop the new row, use the existing record |
| Conflict | Same name but different data (dates of birth differ, a required field missing) | Check the paper register, then correct it |
The order to work in
Deal with conflicts first
A conflict is usually a real data error, while a duplicate is just the same person entered twice.Open each row flagged as a conflict, compare it with the original file or the class register, and correct it.
I am stuck on this step
Not sure whether two rows are one person or two? Leave that row out of this import and ask the catechist who teaches the class.
Still not working? Message the support team and attach a screenshot of what you see.

Then look at the duplicates
For each duplicate row, decide:
- This child really is already in the system — drop the row, do not create another record
- Two different children who share a name — add dates of birth to tell them apart and keep both
Write the data once it is clean
Only write when no rows are flagged. Read the Summary table afterwards.
Shared names are very common in a parish. If you are not sure whether two rows are one person or two, leave that row out of this import and ask the catechist who teaches the class.
Spotting a duplicate after you have already written
Go to Lớp Giáo Lý → Học viên (Catechism Classes → Students) and search by name. Keep the record that has attendance history, set the other to Withdrawn, then ask an Administrator to delete it if you are certain it holds no data.
You are done when
- The Review step has no flagged rows left
- After writing, searching a few names turns up no doubled records
